I dont very often have anything to say on this web site although i enjoy reading all the different posts but today i feel compelled to add a comment. Its obvious that everybody involved has computers or we wouldnt have access to this site in the first place and therefore wouldnt be able to comment however im sure there are still very many people in this world who do not and therefore still rely on much maligned postal service to carry out their affairs. If i were running a club/association (and im so glad im not) it would make sense to me to send all members schedules several weeks in advance, there can be no reason not to do so as cost can be included in members fees and would guarantee EVERYbody would receive one. Admin, having to wait for members to request schedule would surely be more time consuming for you than just posting them in the first place. I would want to ensure that everyone who possibly can supports the shows and early information would be the key to that im sure.

I don't remember a box on the membership form that you could tick if you did or didn't want schedules posted to you as mentioned by Titch but this seems a good idea and i will definately look more carefully when i renew my memebership. If it helps reduce the amount of paper used and keeps costs down for members, it's got to be a good idea. Anyway, good luck to everyone on Saturday.

Well said Ladybird , bit of a contradiction of terms going on , one says we have to request a schedule , and I have never had to do this before , another says I had to tick a box on the membership form , I didn't see it so therefore didn't tick it, so bearing that in mind, the unticked box!! why have I received them in the past , and please do not presume just because people have Internet access they have a printer as well, this is all a bit hit or miss don't you think , what about the people that don't have access to a computer at all , and before anyone says I am over reacting, all I did was ask a simple question and got a very curt answer, certainly not a way to conduct business is it

Every SWPA registration form has had a selection of boxes on the back that you are asked to tick stating which schedules you require to receive. This was discussed at an AGM five years ago in an effort to keep down the costs and soak up the increase in the postal charges at that time. Even the forms on the website have included these boxes for at least four years! Every show has renewal forms on the desk - you only have to ask! Every year renewal forms are sent out in the New year TO EVERYBODY, and even people already registered are asked to complete them and send back in. This is so we do not send out schedules that people do not want and do not plan to attend due to distance etc. With a database of nearly 700 the cost involved with posting and creating approximately 550 unwanted schedules, that are not used or desired, amounts to a large amount of money - £700 - £800 per show. To have continued to send to everyone would have meant registration fees rising by about £10 five years ago. The trouble is that people do not use the official forms but send me in their addresses in letters, on scraps of paper even postits! Most don't do it until they want to start showing and then they have lost the renewal form. Some attach it to their show entries, others post in seperately. People move and do not tell me, get married etc. In all these cases if I have not received the correct and complete information I identify the shows closest to their postal address and send them those schedules only. If a schedule is returned by the Royal Mail labled "addressee gone away" then we would not post out again. If you complied with all of the above then it is down to the Royal Mail for you not receiving your schedule - not SWPA. Most people will phone and ask for a duplicate to be sent if they do not have access to the Internet, and the option to download from the Internet is always there.

I would want to ensure that everyone who possibly can supports the shows and early information would be the key to that im sure. The only people who "request" schedules are those not registered with SWPA and we forward schedules on receipt of an SAE.

I am obviously not explaining very well!
If you are registered with SWPA and have asked for a particular schedule to be sent to you - it was sent
If you are not registered with SWPA then you need to send me an SAE

I think this topic has run its course so i will lock it.
All paid up members (if they ticked the correct box on their forms) will have been sent out a schedule for this show. Marian i'm not sure where you are coming from or trying to make out you are victimised for some reason i can assure this is not the case. Without our many helpers and stewards SWPA would not be able to continue running shows, and we are eternally grateful for those who do offer to help.
We look forward to seeing all those who can make it tomorrow and lets all enjoy ourselves, regardless of the weather!
